*Hall hours are subject to change, number of hours will be between 12 and 15.

*Non-compete time means that the Exhibit Hall will not compete with continuing education (No CE – COPE) classes.  

What does it really mean? It’s means, 12-hours of Exhibit Hall time with 8-hours of little to no competition from CE classes = (67% YOU TIME).

These hours:

  1. Offer more non-compete time / more quality time for attendees to visit with exhibitors
  2. Allow exhibitors to leave a day early; Friday night vs. Saturday night thus saving a day of expenditures
  3. Allow more flexibility to the overall meeting experience for both the exhibitor and the attendee

Dismantle Dates: Beginning Friday, June 26 at 5pm; bills of lading are due Saturday at 10am. Hall cleared by Saturday at noon.

Exhibitor Service Kit: The kit will be mailed via e-mail by the end of February 2020. The kit will contain all forms needed to successfully exhibit at Optometry’s Meeting®.

Booth Payment: A 50 percent deposit is due at the time you reserve your space online. The remaining 50 percent is due on Jan. 17, 2020. Checks and credit cards are acceptable forms of payment. We accept Visa, Mastercard, and AMEX.  New this year! As of May 1, 2019, a 3% processing fee will be assessed to any credit card payments received on invoices greater than $10,000.

Exhibitor Badges: Please register your booth staff for badges through your Virtual Booth Space; click on GET BADGES. You receive five (5) comp badges per purchased 10x10 booth space. The AOA requires all exhibiting booth personnel to display a name badge to gain entrance to the Exhibit Hall. Exhibitor badges can be picked up on-site at the Convention Center. A state-issued license or passport is required to pick up your badge. Exhibitors may enter the Exhibit Hall ½ hour prior to the Exhibit Hall opening each day.

Housing: Exhibitors may register for housing online at www.optometrysmeeting.org. Log on to view hotel choices and reserve your hotel room(s) now.

Press Opportunities: If your company would like to conduct a press conference to announce new products or services during Optometry’s Meeting, you may reserve time in the Press Room at the Convention Center. Housing / E-Mail List(s) Fraud Alert:  The American Optometric Association (AOA) is aware that several fraudulent housing and e-mail list serve companies exist.  They prey on exhibitor lists that they find online and then pretend to be associated with the organization and/or the meeting.  Often wording their marketing pieces to sound like great deals that are being offered by the association or meting, by unlawfully using organization or meeting names / logos.  The AOA only has one partner when it comes to housing and that is MCI USA.  For meeting registrant e-blast opportunities or e-mail lists we use InFocus Marketing.  We urge you to use the vendors that we have contracted with, as we cannot assist you should you decide to book your housing or e-mail blasts outside of our contracted vendors.
